All About Linens

At Linens by the Sea, we pride ourselves on how we care for our linens. We make sure to keep them in pristine condition for our customers. In order to do that, we go through a process that we have found works great for us.

The first step to this process is checking in dirty linens from the previous day’s events. We look to see what orders are scheduled to be picked up that day and attach their paperwork to the clipboards on these buggies. This helps our pick-up crew decide where to drop off the linens when they are unloading the trucks from the night before. During the busy season, these buggies are overflowing with dirty linens from events. Our linen warehouse employees then check in all of the orders with the corresponding paperwork to make sure nothing is missing. They check each and every linen very carefully for any possible stains, mildew, holes, etc. If it is heavily soiled, they pre-treat the linen with a stain remover, and most of the time, are successful in removing it. If there is a hole, we decide if we can repair it or not. If not, we take it out of our inventory system so that our linens are in fabulous condition.

The next step is washing, drying and ironing the linens. Each linen has different directions on how we care for them. Depending on the fabric, whether it is delicate or very sturdy, it goes on a different washing machine setting. Most linens can be put in the dryer, but some need to be air dried  or pressed immediately after they come out of the wash. When we are busy, we usually have two staff pressing one linen at a time together in a synchronized fashion, and someone else presses napkins or sashes. Our washers and dryers are always full in order to efficiently get everything clean and organized.

Once everything is washed, dried and ironed, the linens are folded, hung, covered in plastic bags, and tagged. There are several different ways to fold all of the various sized linens, and some are placed on small hangers or large hangers depending on their size and weight. The reason we cover all of our linens in a plastic bag is to make sure that they do not get dirty during the storing process or moving from our warehouse to an event. For napkins and sashes, we wrap them in shrink wrap in packs of ten or twenty five according to the fabric style. Our tags state the fabric, size and color, and are also dated and initialed by the staff member who gave the final quality check.

After our linens are checked and prepared for the next event, we start putting orders together. We pull all of the linens off the shelf that the order includes and place them on a rolling rack with the order’s paperwork attached. Once the order is pulled and completed, three people check the entire order to make sure nothing was pulled incorrectly and put a highlighted check mark on it so the delivery crew knows it’s completed and ready. We pull orders about two weeks in advance and perform checks to see if there is anything we need to order in or have made for the event. Pulling orders at least two weeks before allows us to have enough time to make sure all is perfect.

On another note, we can ship linens if the client is out of state or in a further away region of Florida. Sometimes shipping can be a more cost effective option when it comes to delivering anything more than two hours away from our warehouse.  Our clients love this!

These are our daily linen processes in a nutshell. During our slower summer months, we take the time to do our inventory and better organize our products. Since we increase our inventory every year, it’s important for us to keep everything as orderly and systematic as possible.

You are always welcome to schedule an appointment to take a tour of our warehouse and to check out our showroom. A lot of our clients really like for us to set up a mock table so they can get a feel for what it will look like at their upcoming event. We can pull any linen that we have in house and pair it with an overlay, napkin, sash, or chair cover according to your liking. Since we share a warehouse with U.S. Tent Rental, we can also set your table with china, chargers, flatware, glassware, chairs, and anything else you might be renting from us.  We look forward to seeing you soon!
