How to stay cool at summer events:

1. Rent a tent. If you are planning on having an outdoor event during the summer months, renting a tent is a smart idea. Not only will it act as shade from the hot, shining sun, but it will also protect you and your guests from those summer thunderstorms that tend to sneak up on us almost every afternoon here in Florida.


One of the main purposes of events is to ensure that your guests are comfortable and enjoying their time. If you put your guests underneath a tent, rather than sticking them out in the 90+ degree summertime weather. I am sure they will be thanking you later. They won’t have to worry about ending up with a strange sun tan, sweating off their makeup or wearing their sun glasses the whole time. If you really want to step up the comfort factor, you can add side walls and air conditioning to your tent. It’s like you’re practically having an indoor event if you decide to go this route. Putting air conditioning inside a tent can be a bit costly, so if it doesn’t fit into your budget, use fans. At U.S. Tent Rental, we offer fans and misters. 2. Have an indoor event. Many hotels and banquet halls have special offers around the summer months because it is technically our “slow season” here in the southern states. This is the perfect time to take advantage of discounted rates and have your event indoors in a beautiful ballroom or reception space. There will be plenty of air conditioning and amenities for your guests to enjoy. Here on the coast of Florida, there are many venues that are on the water with big, open windows. Having your event or wedding at a space like that brings the outdoors in without suffering through the heat.


3. Serve ice cold treats and beverages. One of the best ways to keep cool is by quenching your taste buds with something nice and cold. Set up a bar somewhere near the ceremony site so your guests can sip on something to keep them cool during this time. You can serve iced tea, lemonade, water, or a specialty spritzer; anything with ice will do the trick. If you don’t have space for a full bar before the ceremony, fill up a cooler or ice bucket with bottled waters. You can even create a custom label that fits the theme of the event for your water bottles. Have a dessert bar full of cold goodies like ice cream, popsicles and snow cones. I bet your guests will keep coming back for more as long as the heat sticks around.

4. Consider the time of day. Instead of having an event or wedding smack dab in the middle of the day when the sun is the strongest, consider having a morning or night event. If you have a morning wedding, follow it with a fun brunch reception. On the other hand, you could wait until the sun goes down and keep the party going all night long. Both are great options, and something your guests aren’t used to, so it’s unique and would definitely be something for them to remember.

5. Keep the attire casual. There’s nothing worse than a man dressed up in a nice tuxedo, only to be drenched in sweat five minutes after he steps outside. The same thing goes for a lovely lady decked out in a long evening gown. For the men, try a linen button down shirt and roll up the sleeves. For the women, dress in sleeveless sundresses to keep it cool. A nice big sun hat is always a fabulous accessory at the right place and time.

6. Pass out summertime party favors. Custom made paper fans with the program printed on it are the perfect favor. They are easy to hold and the cool air will make your guests happy. You could also use pretty paper parasols that match the colors of your wedding or event. A little shade never hurt anyone! You can even provide some fun sunglasses for your guests to take home after the event. And last but not least, sunscreen. That’s one important item that you can never have enough of. Make sure you and your guests are lathered up and prepared for a full day in the sun.
